1. The short version
2. What we collect
On the website
- Your file. The video or audio you upload, kept only while the transcript is being made.
- Your transcript. Sent back to your browser. We do not keep a copy.
- Your IP address and browser. Recorded with each page visit and each transcription, to count visitors, apply the daily limit and stop abuse.
- Usage details. Pages visited, the website that linked to us, and for each transcription the file size, length and detected language.
In the Telegram bot
- Your Telegram user ID, name, username and language setting.
- When you joined, how you found the bot, how many requests you made, your credits, and who invited you.
- Records of Telegram Stars payments. We never see your card or bank details.
- A copy of each recording and its transcript, kept in a private channel that only our team can see, to fix problems and stop abuse.
3. How we use it
- To convert your file to text and deliver the transcript.
- To run the bot: free daily requests, credits, invites and payments.
- To keep the service secure, apply limits, stop spam and abuse, and fix errors.
- To understand how many people use the service and which pages and features they use.
We process data because it is needed to provide the service you ask for, and because we have a legitimate interest in keeping it secure and working.
4. How your files are processed
Files are uploaded over an encrypted connection (HTTPS). We extract the audio and send it to our speech recognition provider, Deepgram, which converts it to text and returns the transcript. On the website, your file and the extracted audio are deleted from our servers as soon as the transcript is ready. We do not use your recordings or transcripts to train models.
5. Cookies
The website does not use cookies, advertising or third party trackers. Visits are counted on our own server from the request itself.
6. Who we share data with
We do not sell your personal data. We share it only with:
- Deepgram, to convert speech to text.
- Our hosting and database providers, to run the service.
- Telegram, which delivers bot messages and processes Stars payments.
- Authorities, when the law requires it.
7. How long we keep data
- Website files and audio: deleted as soon as the transcript is ready.
- Page visit records with IP addresses: 12 months.
- Transcription records (size, length, language, IP address, never the content): IP addresses are removed after 12 months, the rest is kept for statistics.
- Telegram bot account data: until you ask us to delete it.
- Recordings and transcripts in the bot's private review channel: up to 90 days.
- Payment records: as long as tax and accounting law requires.
8. Your rights
Depending on where you live, you can ask to see the personal data we hold about you, correct it, delete it, or object to how we use it. To make a request, message us at @btcadmins. You can also complain to your local data protection authority.
9. Security
We use encrypted connections, limited access for our team, and short retention to protect your data. No system is perfectly secure, so please do not upload recordings that contain information you cannot risk sharing.
10. Children
The service is not meant for children under 13, and we do not knowingly collect their data. If you think a child has used the service, contact us and we will delete their data.
11. International transfers
Our providers may process data outside your country, including in the European Union and the United States. When that happens we rely on the safeguards the law requires, such as standard contractual clauses.
12. Changes to this policy
We may update this policy. The date at the top of this page shows when it last changed. Important changes will also be announced in the Telegram bot.
